A General Outlook

Most residential leasehold property (apartments/flats) is now managed by means of a residents owned Management Company or Residents Association. Symon Smith manage the common affairs for and on behalf of the Directors of these Management Companies and Residents Associations, from the preparation of service charge demands, through to ensuring services are provided on developments. Appointing Contractors. Cleaning, Gardening and Window Cleaning

Monitoring these services regularly is part of Symon Smith services. We also provide the following:

  • Oversee items of major repair, i.e. redecoration

Development Inspections

Symon Smith will undertake the following:

  • Monthly development inspections
  • Development meetings with Directors
  • Development meetings with Directors and residents
  • Contractor Inspections

Each month following a development inspection by one of our property managers, a report will be sent through to the Management Company or Resident Association Directors to inform on matters of concern. If items of repair are required, the report will also support quotations for acceptance by the Directors.

Insurance

Insurance is a very specialist field. Symon Smith use specialist insurance brokers who offer a wide range of insurance products, tailored to Management Companies and Resident Associations.
These Include:

  • Block buildings insurance
  • Public liability insurance
  • Directors and Officers insurance
  • Engineering insurance
  • Buildings valuations
  • Implement insurance claims and arrange quotations for works
  • Monitor major claims and repairs in conjunction with loss adjusters

Act as Company Secretary

Symon Smith can be appointed to act as Company Secretary and fulfil the following roles:

  • Issue formal notices and agendas for board meetings in accordance with the Directors instructions
  • Call Annual General Meetings and distribute formal notices
  • Maintain minute books
  • Hold the Company Seal and maintain the Seal register
  • Prepare and issue Share Certificates when a lease is assigned (if applicable)
  • Maintain the statutory books, including
  • Share Ledger and Members Register
  • Register of Allotments
  • Register of Directors and Secretary

Financial Management

Symon Smith will administer the following:

  • Annually prepare the service charge budgets, providing Directors with detailed financial information for their agreement prior to the issue of service charge.
  • Methods of payment available either by cheque, standing order, credit card or ebanking.
  • Answer residents queries.
  • Manage individual Management Company or Residents Associations bank accounts.
  • All payment transaction detailed and recorded.
  • Monitor and record payment of invoices.
  • Maintain financial records on a bespoke Management System.
  • Pursue unpaid service charges. Debt collection to be undertaken where necessary.
  • Directors advised regarding progression of debt collection..
  • Answer residents queries regarding their arrears.
  • Advice to residents with regard to their obligations under the terms of their lease or transfer.
  • Provide Directors with quarterly payments and receipts summaries. If required these can be supplied monthly
  • Discussion with accountants relating to the preparation of Audited Annual Accounts

Developer Information

Symon Smith have extensive experience setting up new Management Companies, working alongside most major UK Developers over a number of years.

Symon Smith will assist developers in the following areas:
